Cancellation & Refund Policy

RESERVATION, PAYMENT, AND PURCHASE
A tour reservation becomes final only upon payment by the Consumer. At the time the reservation is recorded, the entire tour service fee must be paid in full.
If there are exceptional cases mutually agreed upon between the Agency and the Consumer and a payment plan with a defined deadline has been granted, the Consumer must complete the payment no later than 30 days prior to the start of the service.
If the reservation payment is not completed up to 30 days before the service start date, the Agency may unilaterally cancel the reservation and invoice 35% of the total tour price as a withdrawal compensation to the Consumer. Any amount exceeding this compensation shall be refunded to the Consumer.
For reservations confirmed with a deposit, the applicable cancellation conditions shall apply. Deposits are non-refundable for cancellations made within 15 days prior to the tour start date.
SPECIAL DISCOUNTED / PROMOTIONAL PRODUCTS AND PAYMENT
For Consumers purchasing promotional, discounted, or special offer services, the full payment must be completed at least 60 days before the start of the service.
If, due to exceptional circumstances, a payment schedule has been agreed upon between the Agency and the Consumer, the full tour payment must be completed no later than 30 days before the tour start date.
If this deadline is exceeded, the full amount paid shall be deemed used and the reservation shall be canceled, with no refund.
These products are offered under very special discount conditions, include multiple non-refundable services, and do not grant the Consumer any right to a refund. The Consumer purchasing such products accepts in advance that the withdrawal compensation is 100% and non-refundable.
TOUR PROGRAM AND APPROVAL OF THE SERVICE AGREEMENT
All information related to the content of the Package Tour (including start and end dates and locations, transportation methods, departure and return times, accommodation type and quality, hotel check-in and check-out times, meal plans, itinerary, visa/passport/age/health requirements, minimum participant number, cancellation deadline, and tour price) is announced on a separate page for each tour on www.arbattravel.com.
Upon purchase, the Voucher and Service Agreement are delivered to the Consumer. From the moment of purchase, the Package Tour Program, Service Agreement, and Voucher form an inseparable whole.
The Consumer purchasing the Package Tour accepts that they act on behalf of all participants listed on the Voucher, represent them legally, and are responsible for informing all participants about the Detailed Tour Program provided in accordance with applicable legislation.
Failure to fulfill this obligation makes the Consumer solely responsible. Accordingly, the Detailed Tour Program is deemed to have been delivered to all participants. All Consumers listed on the Voucher are deemed to have accepted all details of the Package Tour and approved the Package Tour Agreement.
The Detailed Tour Program, Participation Voucher, and Service Agreement fulfill the function of a Pre-Information Brochure pursuant to Article 5 of the Package Tour Contracts Regulation and constitute integral parts of this Agreement.
CANCELLATION AND TRANSFER CONDITIONS
1. REFUNDS FOR PROMOTIONAL TOURS
For promotional or campaign tours, no cancellation or refund rights exist after reservation.
2. INTERNATIONAL TOURS – REFUNDS
Unless otherwise stated, cancellations made up to 30 days before tour start are refunded in full, excluding mandatory taxes and legal charges. For cancellations or changes made less than 30 days before tour start, the Consumer agrees to pay 100% of the tour price as withdrawal compensation.
3. CRUISE TOURS – REFUNDS
Unless otherwise stated, cancellations made up to 60 days before tour start are refunded in full, excluding mandatory charges. For cancellations or changes made less than 60 days before tour start, 100% of the tour price is charged as withdrawal compensation.
4. DOMESTIC TOURS – REFUNDS
Unless otherwise stated, cancellations made up to 30 days before tour start are refunded in full, excluding mandatory charges. For cancellations or changes made less than 30 days before tour start, 100% of the tour price is charged. The same conditions apply for reservations made within the last 30 days.
5. DAILY TOURS – REFUNDS
Unless otherwise stated, cancellations made up to 15 days before tour start are refunded in full, excluding mandatory charges. For cancellations or changes made less than 15 days before tour start, 100% of the tour price is charged.
6. TOURS INCLUDING FLIGHT / TRAIN / SHIP TICKETS
For tours including third-party transportation services, carrier ticket rules apply. Package Tour cancellation rules do not apply to such tickets. The Consumer accepts that the Agency acts only as an intermediary between the Consumer and the carrier.
Carrier ticket rules apply from ticket issuance until the end of travel. Refunds are subject to carrier deductions, mandatory taxes, and legal charges. Even in force majeure or health-related cancellations, carrier ticket rules remain valid. The Agency is not responsible for carrier-imposed deductions, and the Consumer has no right to compensation.
RIGHT TO NAME CHANGE FOR ALL TOURS
- International Tours: Free up to 30 days before departure
- Domestic Tours: Free up to 15 days before departure
- Daily Tours: Free up to 7 days before departure
Later requests may involve additional fees or restrictions, depending on service providers. All name change requests communicated via phone, email, or SMS are deemed approved by the Consumer.
VISA, INSURANCE, AND CONNECTION FLIGHT CANCELLATIONS
Visa fees, insurance fees, and domestic connection flight tickets included in international or cruise tours are non-refundable.
FORCE MAJEURE AND HEALTH-RELATED CANCELLATIONS
Force majeure includes serious accidents, severe illnesses requiring treatment, or death affecting the Consumer or first-degree relatives, provided such events are documented by official institutions or state hospitals.
If cancellation is notified in writing less than 30 days before tour start (60 days for cruises) due to force majeure, refunds shall be made within 14 days, excluding non-refundable third-party costs.
If covered by insurance under Law No. 1618, refunds are handled by the insurance company.
TOUR CANCELLATION BY ARMI TOURISM
The Agency may partially or fully cancel tours due to insufficient participation, weather conditions, force majeure, or similar reasons. Notification periods:
- International tours: At least 7 days prior
- Domestic tours: At least 1 day prior
- Daily tours: At least 1 day prior
In such cases, full refunds are made within 14 days, with no right to compensation.
CREDIT CARD REFUNDS
Refunds to credit cards may take up to 14 business days, depending on bank procedures. Chargeback requests via banks are not permitted outside Agency refund processes.
MISSING THE TOUR
If the Consumer is not present at the designated departure point and time, they are deemed to have missed the tour. Waiting time is limited to 5 minutes. Missed tours are non-refundable and non-transferable.
Rejoining the tour from another location is possible only at the Consumer’s own cost and responsibility.
TOUR CONTENT AND CHANGES
The Agency is responsible for delivering all promised services. If necessary, changes may be made before or during the tour, provided equivalent or higher-standard services are offered.
Changes made during the tour due to operational necessity do not grant compensation rights.
BAGGAGE LIABILITY
The Consumer is solely responsible for baggage and contents throughout the journey. In cases of proven carrier fault, compensation is limited to half of the transportation portion of the tour price.
MANDATORY TRAVEL INSURANCE
For Package Tours exceeding 24 hours, Mandatory Travel Insurance is provided under Law No. 1618. This insurance does not cover health or life insurance, only Agency insolvency or service failure.
Additional health or accident insurance is recommended but optional.
GENERAL PROVISIONS
- Consumers are responsible for providing accurate personal information.
- The Agency is not liable for consequences arising from incorrect information.
- Consumers must comply with all rules set by guides, facilities, carriers, and insurers.
- Photos and videos taken during tours may be used for promotional purposes.
- Hotel check-in time is 14:00, check-out time is 12:00 unless stated otherwise.
- Vehicles are assigned based on participant numbers.
- Consumers participating without signing are deemed to have accepted this Agreement.
- Compensation claims cannot exceed the tour price paid.
The Consumer acknowledges and accepts that all claims between the Consumer and the Agency are limited to the tour price.
